What data we collect

When you sign up and use April, we collect:

• Your name, business name, email, and phone number
• Your service list and pricing
• Your fixed monthly costs
• Booking details you send to April via WhatsApp (client names, services, amounts)

How we use your data

We use your data solely to provide the April bookkeeping service. This includes processing your messages, updating your dashboard, generating weekly summaries, and producing CSV exports.

We do not sell, rent, or share your data with third parties for marketing purposes.

Our lawful basis for processing your data

April complies with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We are responsible for keeping your personal data safe.

We process your personal data on the following lawful bases:

• Contract — to provide the April bookkeeping service that you have signed up for, including processing your messages, maintaining your dashboard, and generating reports.
• Legal obligation — to transmit your quarterly tax submissions to HMRC under the Making Tax Digital for Income Tax Self Assessment regulations, when you have connected April to HMRC.
• Legitimate interests — for security monitoring, abuse prevention, and improving the service. We balance this against your rights and interests.

You can withdraw your consent or object to processing at any time by contacting us at hello@yourapril.co.uk. This will not affect the lawfulness of processing carried out before withdrawal.

Where your data is stored

Your data is stored on a secure server located in Germany (Hetzner, Nuremberg). All data is encrypted in transit using TLS/SSL.

Third-party services

We use the following third-party services to operate April. Each receives only the minimum data necessary for that service to function:

• Anthropic (Claude) — AI message processing. Receives the text of your inbound messages so April can interpret them.
• Hetzner — server hosting (Nuremberg, Germany). Stores all your data.
• Meta (WhatsApp Cloud API) — for WhatsApp message delivery. Receives your phone number and message content.
• Stripe — for processing your £12/month subscription payments. Receives your name, email, and payment card details (Stripe handles card data directly; we never see your card numbers).
• HM Revenue & Customs (HMRC) — when you choose to connect April to HMRC for Making Tax Digital, we transmit your National Insurance number, business ID, quarterly turnover and expenses to HMRC under the MTD ITSA rules.

Your rights

You have the right to:

• Access the data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Export your data at any time via your dashboard

Data retention

We keep your data for as long as your account is active. If you cancel, we retain your data for 30 days in case you change your mind, then permanently delete it.

We do not use tracking cookies or any third-party analytics on our website.
